Job Description for Part Time Receptionist
We are looking for an enthusiastic customer-focused person to join our friendly hard -working team. This will be a varied and challenging role where you will need to demonstrate good personal skills, be computer literate and be able to multi-task to assist both therapists and patients to ensure the smooth running of the practice.
We strongly believe that patients are the core of our business and that all team members need to be in regular contact with them to deliver second to none customer service, that our patients deserve and expect from us.
The successful candidate will be a strong team player, bringing enthusiasm, motivation, and taking on responsibility to help grow Cranfold as a practice by creating social media and marketing material.
Training will be given where necessary.
Role:
- Greet patients with a welcoming and friendly smile
- Become familiar with and contribute to the ethos of the company
- Deal with customers in person, on the phone and by email, maintaining a friendly and welcoming environment
- Arrange and complete appointments on the computerised diary system
- Take payment by cash, cheque, card, and process these and BACS payments on system
- Become familiar with Insurance Company reporting procedures
- Become familiar with the different patient pathways and their admin support
- Support therapists with administration and other queries
- Help manage our social media platforms and advertising
- Create and send emails to relevant patients using our emailer
- Design posters for inhouse and local advertising
- Liaise with other management team members to assist with and contribute to projects
- Prepare and analyse reports from TM3 software for management (training given)
- Be involved in stock ordering and management
- Understand and practise GDPR compliant confidentiality
- Additional duties to assist with the smooth day to day running of Cranfold
Location: Cranfold Physical Therapy Centre, 107 High Street. Cranleigh Surrey GU6 8AU
The Cranfold admin is a small team and flexibility to cover colleagues’ holidays in Cranleigh, and Dorking is an integral part of this role.
Pay: Starting salary £11 per hour – Weekdays after 5.30pm and Saturday shifts paid at £15 per hour
Evenings and some Saturday mornings required.
Hours
Monday: 8.15-4.15pm or 11.30-7.30pm
Tuesday: to be discussed
Thursdays: to be discussed
Fridays: to be discussed
Saturday: 08.45 – 13:15 One per month
Total hours a week: 18-20 hours per week (38.5 hours shared between two candidates)
Statutory annual leave: 28 days pro- rata including Bank Holidays
